Summer ballot 2013-14
Frequently asked questions
How does the ballot work?
Apply online at any time during the month of June 2013. The ballot is a random computer selection of the applications received. The allocation of bookings is based on where your application is situated in the randomised queue and the remaining availability that matches your preferences.
Once bookings are finalised, all applicants will be notified by email. Successful applicants will then be sent a further email containing a detailed booking sheet and tax invoice. This will provide details of your site number and size or accommodation type.
Please note that during the allocation period in July we are unable to respond to individual enquiries about site allocation.
What is available? What about overnight hikes?
Currently Tidal River campsites, cabins, huts and group lodges are available to book using this system.
Please note: lorikeet units are not available for booking due to flood damage in April 2011.
All other bookings (e.g. overnight hikes, wilderness retreats and the lightstation) can be made by calling 13 1963.
How long can I stay?
You can apply for a maximum of 3 weeks for camping and 1 week for roofed accommodation. Bookings are in 1 week blocks, the dates are listed here.
Can I enter the camping ballot as a back up to my roofed accommodation application?
Yes. If you apply for the roofed accommodation but will accept a campsite as a second option you should enter both ballots. To ensure you are not charged twice please write in the notes of your applications that you want the campsite only if you miss out on the other ballot.
How can I improve my chances of being allocated a site?
The ballot is a random computer selection. The allocation is based on where your application is situated in the randomised queue and the remaining availability that matches your preferences.
Site sizes vary, and large sites are in limited supply. If you choose to accept only larger sites, then you may miss out if the larger ones have already been taken by the time your application is drawn. By choosing the minimum site size required for your needs we can allocate that size or any size greater to you.
The more particular you are about the sites you will accept, the less opportunity we will have to meet your needs.
To maximise your success for a group application:
It is generally harder to meet the requirements of a large group than for individual site requests. If you are booking as a group, you will be allocated as a group. Should your group be unsuccessful, individuals in the group can specify (use the "additional requirements" field) that they are happy to accept a site which is separate from the rest of the group in order for the application to be successful.
What is the best way to register?
The best way to register is online. Registering online is quick, and you can read all the relevant information before you submit your registration. In addition your payment will be processed using the latest in secure payment technology.
Are there alternative dates available?
No. For bookings at other times please call 13 1963.
What if I have difficulty when I try and register my application?
Call our Information Centre for assistance. Information Centre hours: 9.00am – 5.00pm seven days a week. Phone: 13 1963
In the event my preferences are taken, can I indicate that I would accept any other campsite?
Yes, the application form includes an opportunity for customers to elect to take any site available as allocated by Parks Victoria.
Is there a waiting list for people who miss out?
If a site becomes availble due to cancellation, online applicants who missed out may be contacted and offered the newly available site.
I have applied for a campsite but would like to change my preferences. Am I able to do this?
You can alter your application until the ballot closes on 5pm June 30 2013.
I have applied for a campsite but have changed my mind. Can I cancel my application?
You can alter or delete your application until the ballot closes at 5pm June 30 2013.
Once the ballot has closed your application is considered final. Further cancellations cannot be made until you receive your allocation in July, you can then cancel by calling our Information Centre. Please note that cancellation fees will apply. During the allocation period in July we are unable to process any alterations or cancellations.
Can I make an application for several sites for family and friends via the Online Registration system?
Group applications can be made via the Online Registration system (schools are excluded and should contact Wilsons Promontory directly). There is a maximum of 10 sites per transaction and if successful a single payment must be made on one credit card. It is the responsibility of the customer to include contact details and vehicle registration numbers for all sites. Each campsite should be registered with a different contact name.
If you choose to book and pay as a group the main contact person is liable for the payment and must arrange to collect fees from the other members of the group. It is a good idea to make all members of your group aware of the cancellation fees before you agree to book on their behalf.
I have booked several sites for groups of family and friends - how do they know which sites we have booked?
If a customer makes a booking on behalf of family or friends, it is the responsibility of the customer to advise their party which sites have been booked. It is also the responsibility of the customer to advise their party of the Booking Reference Number (BRN) as this will be required to gain entry to the park and campground in the first instance.
If I apply for a group, are we guaranteed sites together? What if one of our group misses out?
Successful group bookings will be allocated sites together. If you are prepared to be separated, please indicate in the "special requirements" section when you register. A group application will be either fully successful or unsuccessful.
Which payment methods are available?
Visa and MasterCard are accepted for payment on this website. The applicable cards will be shown for your selection at the payment screen.
When will my credit card be debited?
Your card will be debited in the month of July 2013.
I don't have a credit card but I want to apply?
Customers without credit cards should contact our Information Centre to register by phone. You will then be asked to submit payment within 7 days of notification of a successful application. Information Centre hours: 9.00am – 5.00pm AEST seven days a week. Phone: 13 1963
If I am successful but I change my mind and do not want to take up my allocation can I cancel it?
Yes, although cancellation fees apply as follows: 30 days or more notice 50% of total booking amount. Less than 30 days notice 100% of total booking amount.
Please note that during the allocation period in July we are unable to process any alterations or cancellations.
Are my payment details secure when making an online booking?
Yes, Parks Victoria uses industry standard secure encryption software called SSL (Secure Socket Layer).
Are there any Park rules or regulations?
Yes - it is recommended that prior to submitting an application that applicants review Useful Information - a link can be found at the bottom of each page of the application online.
What is the Booking Reference Number and do I need it?
The Booking Reference Number (BRN) will be provided to successful applicants upon confirmation of your booking and is required to gain entry to the park and campground. For example, park staff will ask for your BRN at park entry and will use your BRN to confirm number of people in your group, fees paid etc.
I was trying to register but my session "timed out". Why did this happen?
If after a reasonable period of time you have not completed your booking the booking process will be "timed out". Go back to the log in screen and enter your login and password again to continue your application.
I can't find the answer to my question. What should I do?
The information we have provided to assist you with your online booking covers most of the frequently asked questions. If you require additional information please email us at email@example.com and we will respond to you as soon as possible.
Can I apply for a powered campsite at Wilsons Prom?

You can select a powered site as your preference on your ballot application. These sites are charged at a higher rate than the unpowered sites.
